Welcome to Whiteboard Wednesdays! Every week we’ll use this space to discuss RJS product features, tips and tricks. We’ll also announce updates and enhancements, particularly to some of our lesser-known products, including many of our  IBM i/iSeries tools.

For our inaugural post, we wanted to make you aware of some videos that can help WebDocs Windows users improve document security by setting up user profiles, groups, folders, document types and permissions. These videos, along with many more, can be found on our YouTube page and soon will be in our new support center website. See below for direct access to the first two videos of the eight video series:

RJS goes Mobile for the “Digital Natives”

I recently read an interesting article that discussed how our local school district was considering the purchase of 11,000 iPad devices so each and every student could enhance their learning with a mobile textbook. I happen to be the parent of two five-year-olds who will be starting school next year, so naturally I was very excited by this development.

My kids like to use our family’s iPad to watch videos on YouTube, or to visit PBSKids.org for all sorts of fun. It’s neat to watch them sit together at the kitchen counter and play with this exciting mobile technology ‘toy.’ My kids are growing up as “digital natives” right before my eyes!

This digital native generation will arrive in schools or the workplace expecting access to all information at any time and from anywhere. Times have definitely changed. I still remember writing reports by hand and correcting my school papers on the typewriter with whiteout!

Back in December, we gave you a preview of our new support site project. As you may recall, the goal of the project was to transform our clumsy, hard-to-navigate support wiki into a state-of-the-art support site with all the bells and whistles.

That new site, called the RJS Support Center, is still in the works but should be unveiled in early April. It will include a completely revamped interface, improved search functionality and seamless integration into the main RJS website. Not only will products be easier to search for, but more relevant results will display for things like troubleshooting articles. We will also bolster content with more videos, tutorials and other documentation, so that you can quickly find answers to all your product questions.

Here’s a preview:

We did a pretty cool webinar last week with System iNetwork’s Mel Beckman called, “Web-facing Enterprise Content Management: Getting to Signed, Sealed, and Delivered.” It was a popular webcast for attendees from both the iSeries and Windows community, thus System iNetwork is now hosting it on-demand for a limited time. Click below to watch it today!

Here’s a quick abstract of the presentation:

Enterprise Content Management (ECM) is a formalized means of organizing and storing an organization’s documents, and other content, that relate to business processes such as order entry and fulfillment. The revolution in Web-based application delivery enables ECM in ways never before possible, leveraging document collection, signing, security, distribution, and metadata attachment.

In this presentation, IT technology expert Mel Beckman discusses the essential elements of integrating Web-facing dynamic forms that pull and push data to any database on any platform, where they can be stored and routed through your business processes. You’ll learn about the capabilities, advantages, and best practices of both in-house and cloud-hosted Web ECM.

You’ll then learn how RJS Software Systems successfully employs their own Web-based form and ECM solutions to automate form-based business processes. RJS Solution expert Bill Whalen will show you specific real-world examples of how form-heavy processes like quote-to-fulfillment and accounts payable can be streamlined to reduce or eliminate paper and save time and money.

RJS solves difficult problems and streamlines business processes for customers big and small. Whether it is a substantial “paperless” solution with multiple products, or a small company needing an affordable, yet robust security suite in Sophos, we’ve found that no two sales are the same.

Although many of our customers want to go paperless or automate a business process, each situation is unique and needs a solution that is tailored to their business environment. We take pride in providing that personal touch to our customers. Here are a handful of our favorite success stories of 2011.

If you’re having chicken for dinner, there’s a good chance the package has a Gold’n Plump logo on it. Looking to capture web-based forms while integrating with their Lawson portal, Minnesota-based Gold’n Plump is soon rolling out WebForms to capture HR documents. Gold’n Plump also embraces the entire document management lifecycle by managing and distributing documents with WebDocs and securing their data with Sophos.

RJS Lean Security

February 13, 2012

While the bread-and-butter of RJS Software’s business has always been our document management software products, we made a strategic decision three years ago to add a security consulting wing to our organization. Since then, security has become an integral part of the document management lifecycle and how we protect your data and sensitive corporate information.

In the last three years, we’ve also come across an industry-wide complaint about security consultants. They’re too expensive and projects take too much time. You know what … we couldn’t agree more. That’s why we have developed a security methodology called, “Lean Security.”

There’s a way to make your security strategy work smarter, not harder. Perfect security is a pipedream. So use what you have and learn from what works. Simply follow these six principles when building your lean security strategy.

The idea of perfect security is a trap.
Embrace the 80/80/80/80/80 rule. You’re better protected with several slightly imperfect layers, than one single line of defense.

Make changes. Measure results. Do more of what worked. Repeat.
Stay one step ahead of attackers by enhancing your operational efficiency. Take the time to learn and minimize resource waste.
